Event Coordinator Position at Greg Boulus Events

We are a full service wedding and event production company based in Augusta, Georgia. Our company is seeking a highly motivated, creative individual for a full-time events staff position. Established in 1996, we specialize in high-end weddings and events. We serve a discerning clientele, who expect a high level of service and attention to detail. We pride ourselves on creating classic, timeless events that are a personal reflection of our clients’. Working alongside the owner and additional team members, this position requires a professional, incredibly organized individual whose strengths include the ability to multi-task and communicate efficiently in order to oversee the planning of several events simultaneously. Strong interpersonal skills and confidence in directing large groups of people are necessary.

Position responsibilities include:

Administrative

·          Reaching out to and following up with potential clients

·          Replying to email response forms via the Greg Boulus Events’ website

·          Managing (including editing, sending, and intake) of client contracts, invoices, and payments

·          Creating floral & event proposals for weddings, private events, and corporate events

·          Managing the Greg Boulus Events Honeybook account

·          Maintaining client wedding & event proposals throughout the planning process, updating them with appropriate changes after each meeting

Media

·          Maintaining and updating the Greg Boulus Event website galleries

·          Updating and adding to the Greg Boulus Event blog with fresh content monthly

·          Managing the Greg Boulus Event social media platforms including Facebook, Instagram, and Pinterest

·          Creating marketing materials for Greg Boulus Events

Planning & Production

·          Heading the day-of events team for each Greg Boulus Events wedding and event

·          Attending to bride/client needs day-of

·          Overseeing vendor/rental load-in in days leading up to event

·          Coordinating and confirming walk-throughs at venues and event locations with appropriate venue staff, vendors, clients, and events team members

·          Maintaining the floral design preferences &  orders for each wedding/event and communicating & sharing floral orders to floral design team

·          Sourcing, bidding, ordering, editing, and confirming event rental items including furniture rentals, event rentals, linens, and accessories

·          Creating and managing event floor plans using online software

·          Coordinating of wedding/event vendor teams, including when appropriate handling the initial booking, obtaining bids, contract negotiation, communication throughout planning process, and management day-of

·          Creating and maintaining event timelines including confirmation of arrival times with vendors, venue, and clients

·          Coordinating, attending, and leading of meetings with vendors including cake tastings, paperie design sessions, catering meetings, etc.
